Access to clinical records is restricted to authorised VCCH practitioners. Practitioners receive individual invitations to access the relevant files.

Clinical records are not made publicly available through these folders.

Access permissions are managed according to clinical responsibilities and withdrawn when no longer required.

We take reasonable steps to protect records against unauthorised access, loss, misuse and disclosure.

6. Website hosting and electronic services

The VCCH website is hosted by Bluehost and maintained with assistance from our IT administrator.

Bluehost operates data centres internationally. The particular server location used for the VCCH website is not confirmed and may vary.

Website security measures include SSL encryption, backups and administrator access controls.

VCCH also uses third-party services for communication, document transfer, storage, course administration, invoicing and newsletters. These include Microsoft OneDrive, WeTransfer, Google Docs, Square, WordPress, WPForms and Mailchimp.

Some personal information may be stored, accessed or processed outside Australia, including in the United States and European countries, depending on the arrangements of individual providers.

We take reasonable steps to protect information handled through these services.

No electronic transmission or storage system can be guaranteed completely secure.

7. HFA teaching, research and podcasts

VCCH provides HFA education through recorded teaching, books, written material and podcasts.

Students participating in historical recorded teaching sessions provided permission by email for recording.

When clinical patient cases are discussed for teaching or research, VCCH uses anonymised information and broad descriptions intended to prevent identification of individual patients.

Identifiable patient information or photographs are not ordinarily published for educational or promotional purposes without appropriate permission or another lawful basis.

Podcast interview participants provide permission for recording. Interviews may be edited before publication.

8. Course enrolments and payments

Information submitted through HFA course registration forms is used to review enrolment requests, communicate with students, prepare invoices and arrange course access.

VCCH uses Square for invoicing and payment administration.

Relevant information is retained for educational, administrative and financial recordkeeping purposes.

9. Newsletters

VCCH uses Mailchimp to manage newsletters and educational communications.

Subscribers may unsubscribe using the link provided in newsletter emails or by contacting VCCH.

Confidential clinical information is not used for unrelated marketing without an appropriate legal basis.

10. Sharing information

Information may be shared with authorised practitioners, relevant service providers or other parties where necessary to provide our services, where authorised by the individual, or where required or permitted by law.

We do not sell personal information.

11. Retention of information

Clinical records are retained in accordance with applicable health-records legislation.

Other information is retained for appropriate administrative, accounting and legal purposes.

Information that is no longer required is securely deleted, destroyed or de-identified where appropriate and legally permitted.
